The AICR International Presidium Meeting 2017 (“presidium”) is being held from 22 to 26 February 2017 in Paris, France and is being organised by AICR Paris (“organiser”)

All bookings are to be made through the online booking tool on the event website www.aicr-congress.com.  All presidium registration fees (“fees”) will be paid directly to the organiser as indicated in the “Packages” section.

The participation fees will include VAT and taxes are quoted per person. For children’s policy, please contact the organiser directly at info@aicr-congress.com

Please note that the 4-night package does not include dinner on Wednesday, 22 February 2017, as this is planned exclusively for David Campbell Trophy finalists, jury, actors, the international committee and section presidents

Payment:

Payment can be made by credit card or by bank transfer in Euros. For the bank transfer option, the full amount must be received two weeks after booking at the latest.  If the fee is not received within 2 weeks, the booking will be cancelled and the participant will have to rebook their package at the higher rate.  For bookings made in December, the full amount must be received prior to 15 February 2017.

Please include “MEMBER’S NAME – SECTION” in the payment reference of the bank draft.

Please note:  Bank charges cannot be included in the package fee.  The participant is responsible for paying the bank charges and submitting the payment in such mode, that the organiser is credited with the full amount of the package.  Any shortages from bank charges will be invoiced to the participant and will have to be settled additionally.

Upon payment of the participation fees, a confirmation and receipt of the participant’s total payment will be sent by email.

Package Availability and Booking Deadlines

The packages will be available as follows:

Early Bird Package:  book before 30 November 2016

WinterPackage:  book between 1 December and 31 December 2016

Last Minute Package:  book between 1 January and 31 January 2016

Cancellation Policy

Cancellation of participation must be sent by email to info@aicr-congress.com(link sends e-mail).  A cancellation is not valid without a confirmation from the organiser.

In case of cancellation, the organiser reserves the right to charge for any penalties based on the time of cancellation.

• Cancellations made before 15 December 2016 will result in a 10% cancellation charge
• Cancellations made between 16 December 2016 and 15 January 2016 will result in a 20% cancellation charge
• Cancellations made on or after 16 January 2016 as well as no-shows will result in a 100% cancellation fee

If you are unable to attend, the organiser will accept a stand-in replacement at no additional charge.

Accommodation

The participants will be booked at the Hotel Meridien Etoile Paris (“The Presidium Hotel”).  The hotel registration will be handled together with the registration for the presidium only for stays within the duration of the program selected.

If you would like to book pre-night stay, you will be offered the rate of EUR 199 including breakfast in a single room or EUR 219 including breakfast in a double room and for a post-night stays, you will be offered the rate of EUR 149 including breakfast in a single room or EUR 169 including breakfast in a double room.

These prices are per room per night including service charges and taxes.  Please do not hesitate to contact the organiser in case you wish to arrive earlier or depart later; the organiser will endeavor to assist you if extra accommodation is required.

Liability / Insurance / Force Majeur

The organiser cannot be held liable for any personal injury, loss or damages arising during the presidium and its related services – which include transportation, events or tours. Participants are strongly advised to arrange adequate personal insurance prior to travelling.

Should the presidium be cancelled, curtailed or adversely affected by any cause not within the reasonable control of the organiser including but not limited to war, fire, national emergency, labour dispute, strike, lockout, civil disturbance or Act of God, the organizer shall be under no obligation to refund all or part of the fee paid by the participant and shall be under no liability to the participant or any other person in respect of any actions, proceedings, claims, demands, losses (including consequential losses), costs or expenses whatsoever which may be brought against, suffered or incurred by the participant as the result thereof.
